This is the release feed from inside Rafyo, in the same words schools read there. We write one for anything worth telling a school about, which turns out to be most weeks. A handful of entries only make sense to someone already using the product, and aren't repeated here.

Cancelling a club session gives the place back

A cancelled session now comes off the booking entirely. It leaves the parent's clubs and their week at a glance, and the date is bookable again by someone else. The credit and the order still record what happened.

Two related fixes for clubs sold by the session or by weekday: each date can now be booked separately, and a club that has already started stays open for its remaining dates — for parents and for reception booking on their behalf.

iSAMS: 'Link to iSAMS' rows have their own section

Rows that only record that someone is already in Rafyo now sit under 'Recognised as already in Rafyo', separate from Corrections. You can approve the lot in one click without sweeping up real edits.

The approve, reject and apply buttons now stay at the top of the page as you scroll.

Parents can see their club orders in Order history

Order history now lists every order, clubs included. A club line shows the child, the club, what it cost and what it bought ('12 sessions · 6 Jan – 27 Mar'). The Clubs section below is still the attendance view.

An order awaiting card payment now says 'Awaiting payment', and discounted lines show what was actually charged.

You can take credit off a family account

Each family's billing panel now has a Remove Credit button beside Add Credit: an amount, a required reason, and a line in their history showing who did it and why. Removing more than the family has takes the balance below zero and shows as money owed, which is deliberate.

Add Credit now points you here if you type a negative amount, instead of doing nothing.

Parent emails use first names only

Children are now shown by first name alone in parent emails — the lunch reminder, the Sunday digest, order confirmations and family invites. We chose first names over initials so that two siblings sharing an initial stay tellable apart.

The dietary receipt no longer names the child in its subject line. And a subject can no longer include {childrenNames}: the Email Templates page rejects it and says why. Use it in the body, which is unchanged.

The clubs list is shorter, with a date calendar

Cards now start closed, with the photo at the top and long descriptions behind a Read more link, so a parent can see several clubs at once. Clubs booked by individual session show their dates as a calendar, a column per weekday — 'every Wednesday' is one tap.

Worth knowing when you write a description: the card already shows the dates, times, price and location.

Bulk invites skip parents whose children have left

'Send invites' was offering families with no children still at the school, and ticking them along with everyone else. They are now marked 'No current children' and left unticked, so a bulk send skips them.

They stay in the list rather than disappearing, so you can still tick a family whose child isn't enrolled yet.

Staff discounts show on the menu, not just at checkout

Meals you get a discount on now show the original price crossed out with the discounted price beside it, as you choose. It updates per child, so you can see which meals are covered and which aren't.

The amount you pay hasn't changed — it's the same discount, just visible earlier.

A discount can apply to all staff

Each discount now has an 'Apply to all staff' tick box, covering everyone in your staff list including anyone you add later. Turn it back off and your original selection is still there.

Existing discounts are unchanged. Marking someone inactive removes their household's discount, unless someone else in that household is still active staff.

The lunch menu runs to the end of what you've published

The menu used to stop about three weeks ahead whatever the school had published. It now runs to the last date you've put a meal on, up to about a term.

Meal photos appear on the menu wherever a product has one, with nothing to switch on. And ingredients sit behind an 'Ingredients' link instead of printing in full under every option — allergens stay visible on the meal itself.

Pay for clubs in instalments

Parents can now split a club's cost at checkout. The first payment is taken by card straight away and, with the parent's explicit consent, the card is saved so the rest collect automatically. They can see the plan and update their card on the Account page.

Set the schedule on each club's product page — fixed dates, each a percentage of the total. Billing shows every family's plan, where you can cancel one or mark a payment collected outside the system.

Restricted clubs reach every granted family

A parent who had never finished joining, or whose household has more than one family record, could be granted access to a restricted club and still see nothing. Access is now recognised for every family record a parent belongs to.

Invite links last 30 days instead of 7, and 'Send invites' lists everyone who hasn't joined and preselects expired links for a fresh send. The 'Restrict to selected families' picker is now searchable by child, class, parent name or account number.

Tax-Free Childcare families

You can now flag a family that pays through their government Tax-Free Childcare account, on the Families page. Their club bookings then confirm straight away without going through card payment, and the cost lands on their account balance in Billing. Only enable it once the arrangement is verified, since it covers every club booking they make from then on.

Orders containing only club bookings now send a confirmation email, which they previously didn't.

Product forms have their own pages

Opening a product now takes you to its own full page, in clear sections — details, pricing, dates, who can book — with the status and Save button always in view and a warning before you leave with unsaved changes. The list is just the catalogue and a New product button.

Every view has a real web address, so you can bookmark a product, open it in a new tab or share a filtered list. Nothing about what products do has changed.

The parent portal opens on a Home page

Signing in now lands on Home: your school's message, then 'This week' — a card per day showing each child's clubs and lunch, with club cells you tap to flag an absence — then a card for each thing a parent might be here to do.

Club attendance has moved here from the Clubs page, which is now just for browsing and booking, and the sessions list is grouped by day rather than by child. Your 'Message to parents' now reaches every parent, not only the ones ordering lunch.

Clubs can be booked by day or by session

A club's form now sets how much of it a parent can book: 'Whole term only' (the default, unchanged), 'Choose days of the week', or 'Choose individual sessions'. Both new options need a price per session, so what a parent pays matches exactly what they booked.

The parent Clubs page now works like Lunches — pick a child, then book. The register gains 'Remove from session', which takes one child out of one date and credits their family, rather than cancelling their whole booking.

Existing clubs stay 'whole term only' until you deliberately change them.

Your message to parents is actually shown to them

The 'Landing Page Message' only ever appeared on the sign-in page, so once a parent had an account they never saw it again. It now also appears at the top of the Lunches page, and the field is renamed 'Message to parents' to match.

If you have never written one, nothing appears.

'Group with other days' is being withdrawn

The field that gave several clubs one shared card, with a button per day, has been removed. Those clubs show as separate cards again, one per day, just as they did before.

We're replacing it with a club that can run on more than one weekday as a single entry. Dates, prices, places and registers are unchanged.

A booked club date can no longer be deleted

Removing a date from a club's session list now checks whether anyone has booked it, and whether it holds attendance or cancellation records. If so, saving is refused and you're told which date and why.

Cancel the session instead — that credits the families who booked it and keeps a record of what happened. Deleting a date nobody has booked still works freely.

Clubs can be priced per session

A club's price box now asks for the price of one session and shows the block total underneath as you type: £12 a session for a six-week club is £72.

This makes the money tie out — credits, mid-term joins and one-off charges all come to exact session prices. Existing clubs keep their current price until you next edit one, and the figure shown then becomes the per-session price, so check it before saving.

Show a club's days as one card

For a short time you could give several clubs the same group name so parents saw one card with a button per day, each day keeping its own dates, price, places and register.

This has since been withdrawn in favour of a club running on several weekdays as a single entry. Grouping was purely presentational, so nothing on existing clubs changed when it went.

Duplicating a club copies its dates

The duplicate button copied everything except the session dates, which left you unable to save the copy until you re-picked every date by hand. It now brings the dates across too.

Only future dates are copied. Duplicating a meal is unchanged.

Discounts can cover staff members' children

Tick 'Also apply to these staff members' children' when creating or editing a discount — their own meals are always covered, so the box only adds their children.

Existing discounts stay staff-only until you tick it. For a different rate, or to cover a different set of meals, create a second discount: where two both apply, the higher rate wins.

Named discounts with per-staff and per-product targeting

The old single Staff discount rate is replaced by a full Discounts page. Create as many named discounts as you need, each with its own percentage rate, the staff members it applies to, and the products it covers. Discounts are applied automatically at checkout when a matching staff member orders an eligible product — the higher rate wins if more than one discount qualifies.

Easier to use on your phone

The parent site now has a bottom menu on mobile — Lunches, Clubs and Account — so the main pages are always one tap away. Order history has moved into Account (look for the "Order history" link near the top). We've also smoothed out a round of small mobile fixes: bigger buttons that are easier to tap, no more sideways scrolling on menus and forms, and a checkout button that stays reachable as you scroll.

Edit a child's dietary profile from the office

Each child on the Families page now has a 'Dietary profile' editor, so the office can record allergies with a severity (severe, moderate, low or unconfirmed) and dietary preferences directly — for example when a diagnosis arrives by phone or letter — instead of relying on the free-text note. Entries show where they came from (school or parent) and whether the family has verified the record; the family receives a receipt email for every change, and the child's next parent login asks them to review anything the school entered.

Class teachers sit with their class on the kitchen list

By default, each class teacher's meal now shows in their class's section on the kitchen list instead of a separate Staff section — so the kitchen counts match the table the food goes to. You can turn this off school-wide under Classes. Teachers still carry a "Staff" tag, and it applies to the printed list and the Excel export too.

Label classes by teacher, not just A/B/C

If your school knows a class by its teacher rather than a group letter, you can now label classes by the teacher's initials — e.g. "3 JMK". Turn it on under Classes → Class labels. It applies wherever class names show and is especially handy on the kitchen list. Orders already placed keep the label they were placed with; new orders use the teacher format.

Organize the kitchen list into your own sections

The kitchen list can now be split into sections you define — Lower School, Middle School, Upper School, Kindergarten, Staff, Guests, or whatever suits your school, each with its own colour. Children and staff flow into the right section automatically and are grouped by class within it, dietary needs and notes each get their own column, and you can add a note to any eater or section for the day (allergies, a change of plan, anything the kitchen needs to know). Edit your sections any time from the button on the kitchen list. Printing and Excel export both mirror the on-screen sheet — colours, sections and all. Lists show from the start of the current academic year onward — earlier weeks aren't shown, since class structures change year to year.

We've also closed a long-standing gap: adding a meal for a child who's already on the sheet is now blocked with a clear message, instead of quietly creating a duplicate.

Payments in Stripe now show the billing code, not names

A payment used to read 'LUNCH x 3 — Rose family (ROSE01) — Order #812' in your Stripe dashboard. It now reads 'LUNCH x 3 — ROSE01 — Order #812', and children's first names have been removed from the payment details entirely.

Stripe processes payments outside the UK, so we send it as little about your pupils and families as we can. The iSAMS billing code reconciles a payment just as precisely, and means nothing to anyone outside your school. The order number still opens the full record in Rafyo.

Simpler academic years

Classes now stay put year to year. Set up next year's dates, then promote every child up a class in one click during the holidays — no more rebuilding your structure. Year names like '2026-27' are worked out from the start date automatically, so they can't drift out of sync — just pick the dates.

Promoting clears each class's teacher, so you assign class teachers fresh for the new year rather than carrying last year's over by mistake.

Left the school? Children promoted off the top become 'leavers' — see them all, with their former class, on the new Leavers page (linked from Classes), and unarchive by mistake in one click.

Cleaner one-off meals on the kitchen list

Adding an ad-hoc meal is tidier. The 'who' picker no longer lists archived children (which couldn't actually be added and never showed on the sheet), and you can now add invited staff who haven't accepted yet — they appear under 'Invited staff' and are recorded free. And if a child's family has nobody set up to be billed, you'll get a clear message ('link a parent, or mark the meal free') instead of a cryptic error.

See email previews with real example content

On the Email Templates page, previews now show the full email as parents receive it — meal tables, the week-ahead digest's lunches and clubs, and order line-items with totals — using sample data, not just the intro text. Edit the message and watch the whole email update.

Tell us about allergies and dietary needs

You can now record each child's food allergies and dietary preferences (dairy-free, gluten-free, vegetarian and more) from their card on your Account page — or when you're browsing the menu. It's structured, so the kitchen sees exactly what to look out for, and you can update it any time as things change. You can also tell us how serious each allergy is, from mild to severe.

Staff who order for themselves can set their own needs the same way. Nothing is assumed: until you tell us, a child shows as 'not confirmed' rather than 'no requirements'. If the school has already added a child's dietary information for you, you'll be asked to give it a quick review the first time you visit.

At checkout, we'll now ask for a child's dietary needs before their first order if we don't have them yet — a quick one-time step, then it's done.

Structured allergens on meals and the kitchen list

Products now carry the 14 statutory allergens as tick-boxes instead of freetext, and the kitchen list cross-checks them against each child's recorded allergies and preferences — flagging clashes in red (allergen) or amber (preference), and marking anyone whose needs aren't confirmed yet. Each allergy now carries severity levels, and removing or downgrading a severe allergy needs office approval. A named 'Review dietary requests' capability now owns that approval queue and receives an email alert whenever a request needs review or a child's profile gains a new severe allergy — granted to Super Admin and Office Staff by default.

Every dietary change, by staff or parents, is recorded in the audit log under its own 'child dietary' type for easy review.

All staff can be assigned as class teachers

Staff imports now add every staff member to the directory (not just class teachers), pick up an Abbreviation column, and fill in initials automatically. The class-teacher picker lists all staff.

Preferred names for children

Some children go by a name that isn't their registered first name. You can now record a preferred name on any child — edit them on the Families page — and it's what everyone sees: kitchen lists, registers, parent app, emails and exports. The legal name stays on the child's record.

Imports pick it up too: add an optional preferredName column to the children CSV, or a childPreferredName column to the families workbook.

Export the kitchen list to Excel

On the Kitchen page, use the new 'Export Excel' button to download the selected day's list as a spreadsheet. It includes each meal, class, name, quantity, allergens and notes — ready to print, share or hand to the kitchen.

A Sunday email for the week ahead

Every Sunday you'll now get an email summarising your child's lunches and clubs for the coming week, alongside the existing reminder before the ordering deadline.

We've renamed the toggle on your Account page to 'Weekly emails' to cover both — manage it there any time.

See who's booked a club, and clearer Stripe payments

Every club on the Products page now lists its bookings — child, family, date and status — including clubs you've hidden and cancelled orders, so nothing disappears if you take a club offline.

Club payments in your Stripe dashboard now name the club too, e.g. "CLUB Pottery — Nugent family (NUGE01) — Order #799", making reconciliation easier.

Offer your staff a discount

You can now give staff a percentage discount on the products you choose. Set a rate on the new Staff discount page and pick whether it applies to staff's own purchases, their children's, or both — then tick 'Eligible for staff discount' on any product.

Eligible orders get the discount automatically at checkout, with VAT and any account credit applied to the reduced price.

Everything about your account in one place

Tap your name at the top to open your new Account page. It shows your email, your children, your notification settings and your credit balance — all in one place. (Profile and Settings have moved here.)

Your credit is now applied at checkout

If your account is in credit — for example after a cancelled meal — it's now taken off your order automatically when you check out. You'll see it come off the total, and an order fully covered by credit costs you nothing. You can check your balance any time on your Account page.

Already booked a meal but want to tweak it? On Lunches, tap a confirmed meal to open it, then 'Edit choices' to leave out an ingredient (like 'no beans') — right up until the ordering deadline.

The home dashboard now shows how many pupils and families you have at a glance, and the Families page header counts them too. On the Classes page, each class shows its pupil count — click it to see exactly who's in that class.

Bring your families straight in from iSAMS exports — drag in the Family and Pupils files, review, and confirm. Re-importing safely merges rather than duplicating.
